Offer Template Set Up

You can create templates to provide a quick and efficient way to customize offers to potential employees while keeping things uniform across your organization.

Offer templates require a separate offer document.  The offer document needs to be a .docx file that contains the verbiage and variables for the offer message.  Please see Creating the Offer Document for additional details.

Accessing Offer Template Set Up

  1. Click the gear ⚙️ in the left sidebar.
  2. Hover over Recruiting Preferences.
  3. Click Message Templates.
  4. Scroll to the Offer Templates section.

Editing or Deleting an Existing Offer Template

  • To edit an offer template, click the edit button   next to the appropriate template. 
  • To delete an offer template, click the X next to the appropriate template. 

Creating a New Offer Template

  1. Scroll to the bottom of the Offer Templates section, click the +Offer Template button.
  2. Enter a value in the Template Name field.
  3. Click the +Offer Document button to upload the offer document. Please see Creating the Offer Document for additional details.
  4. In the Offer Approvers field, select an approval group from the available options.  Please see Offer Approval Set Up for additional information about setting up offer approval groups.
  5. If you would like to store the offer template in a specific folder, choose an option in the Select Folder field. See Creating an Offer Template Folder for information about adding folders.

Creating an Offer Template Folder

You have the option to create folders to help keep your offer templates organized.  To create a new folder:

  1. Scroll to the bottom of the Offer Templates section.
  2. Click +Folder.
  3. Enter a name for the folder in the Folder Name field.
  4. Click the +Folder button.

Creating the Offer Document

The offer document is a .docx file that you will upload to PeopleFluent Recruiting. This file is usually written by the recruitment/HR team.

Your offer document can contain variables: These are 'fill in the blank' spots where you will add information for each specific offer you send out.

A variable is a term with no spaces, surrounded by two square brackets like this: [[some_variable]]

We support the following variables by default, but you can create your own custom variables too:

[[company_name]] [[position_title]] [[candidate_name]] **[[sender_name]] ** [[manager_name]] [[manager_title]] [[salary]] [[sender_name]] [[start_date]] [[candidate_signature]]

[[candidate_signature]] is required in all offer template documents.

Additionally, you can create any custom variables you would like as well, you just need to use the [[variable_name]] format.

PeopleFluent Recruiting will automatically detect the variables you have created in the document and display them to you.
